POSITION SUMMARY:

The Finance Associate will report directly to the Head of Communications & Operations. This position will support the Operations team and Executive Director by managing day-to-day financial operations, updating finance and contact databases, maintaining accurate records, and ensuring compliance with company policies and regulatory requirements. This role is essential to the smooth operation of the finance team and provides critical administrative and reporting support.

 

KEY RESPONSIBILITIES:

Invoicing Duties

  • Lead the quarterly invoicing process, collaborating with our Operations and Engagement teams and our accounting firm to ensure invoices are delivered accurately and on time.
  • Serve as the point of contact for participating companies and staff on any invoicing inquiries or database updates.
  • Process payments through partner company portals to ensure invoices are paid.
  • Work with accounting firm in compiling quarterly revenue reports for global colleagues.

 

Finance Administrative Duties

  • Serve as the day-to-day contact for finance vendors.
  • Manage general inbox inquiries and ensure timely responses.
  • Process bills and invoices through the accounts payable system.
  • Maintain filing systems, both digital and physical, for financial documentation.
  • Assist with audits and liaise with external auditors as needed.
  • Maintain and update company’s finances, revenue, and contact information in Salesforce and QuickBooks.

 

Accounting Support

  • Assist with budget preparation and monitoring, working collaboratively with finance vendors on financial performance reports.
  • Help finance vendors maintain accurate financial records, including accounts payable and receivable, general ledger entries, and bank reconciliations.
  • Work with finance vendors to ensure financial statements, reports, and summaries are prepared and shared with management on a consistent basis.
  • Work in partnership with finance vendors to prepare meeting materials and presentations to the Board of Directors and the Finance Committee of the Board.
  • Collaborate with internal teams to provide financial guidance and support.

 

QUALIFICATIONS:

  • Bachelor’s degree in Finance, Accounting, or a related field.
  • 2 years of experience in finance, accounting, or administration.
  • Advanced Excel skills.
  • Knowledge of accounting principles and financial reporting.
  • Proficiency in financial software (e.g., QuickBooks, Bill.com, Salesforce, Xero).
  • Excellent attention to detail and organizational skills.
  • Strong communication skills, both written and verbal.
  • Comfort working with external vendors and internal stakeholders.
  • Demonstrate ability to work independently and as part of a team.

 

PREFERRED SKILLS:

  • Ability to communicate effectively across departments.
  • Respond to our financial contributors in a timely and professional manner.
  • Ability to identify potential finance-related risks and escalate to management as needed.
  • Experience with budget management and forecasting.
  • Familiarity with nonprofit finance.

 

The Network USA office is headquartered in New York City. This position is open to candidates in the New York tri-state area.
